A thoughtful and well-executed beverage menu is the foundation of a successful and memorable event. Whether you're planning a casual gathering or a formal affair, this guide provides expert tips and strategic considerations for creating a drink selection that delights your guests while working efficiently with the bartenders you book.
Our Stock List supports menu planning by generating an ingredient-level shopping list from your event details, while our Smart Staffing Calculator recommends a bartender count for your chosen menu complexity.

- Core soft drinks: Cola, diet cola, lemon-lime for non-cocktail options
Preparation Considerations:
- Simple cocktails: Enable faster service and consistent quality

- Homemade ingredients: Require advance planning and bartender coordination
- Service window optimization: Balance complexity with event timing
Ingredient Strategy:

- Quality sourcing: Professional-grade ingredients for premium results
- Storage requirements: Consider refrigeration and prep space needs
- Backup planning: Alternative ingredients for supply chain issues
A focused menu is easier to shop for, quicker to pour, and easier on your guests than a long one.
A shape that works for most events:
- Three to five signature cocktails
- A beer or two
- A red and a white wine
- Something from the Mocktails category, given the same care as the cocktails
Three cocktails is a good target and about five is a sensible ceiling. Past that, the shopping list grows, the bar slows at exactly the moments it is busiest, and guests spend longer choosing. It is your event, so a longer list is allowed — treat this as a starting point rather than a limit.
Count mocktails in that total. A mocktail takes the same shaker, the same garnish and the same minute behind the bar as an alcoholic one. Counting it separately is how a five-drink menu quietly becomes an eight-drink menu.
Highballs are a shape, not a shortcut. A highball is a spirit and one mixer — vodka and soda, gin and tonic, tequila and soda, whiskey and cola, rum and cola. They pour quickly and they earn their place on most menus. A menu built only from them still benefits from one or two mixed drinks alongside, and the easiest additions are barely slower to build: a Moscow Mule (vodka, lime, ginger beer) or a Ranch Water (tequila, lime, sparkling water).
If you are not sure what your guests drink, spread your cocktails across a few base spirits rather than stacking them on one.
A common starting point for a mixed group is one cocktail on each of three bases:
- Agave — tequila or mezcal: margaritas, palomas, a tequila and soda
- Whiskey — bourbon, rye or Scotch: a whiskey and ginger, an old fashioned
- Vodka or rum — mules, rum and cola, mojitos
Three drinks on three bases reach more of a room than three drinks on one, and they cost nothing extra in bar steps.
Vodka and gin. Vodka is a dependable all-rounder and mixes cleanly with almost anything. Gin has devoted fans; if you know you have gin-and-tonic drinkers coming, add it — a gin crowd tends to be happy with tonic and citrus. Gin also makes an excellent base spirit in its own right. If your menu leans heavily on gin and you are not certain your guests do, keeping a second base alongside it is the safer bet.
When the bar has no hard liquor. Some events skip spirits entirely, and some venues limit them. A spritz is built on wine or an aperitif with soda rather than a spirit, so it keeps a drinks list interesting without a back bar behind it. The Hugo Spritz is one example. Spritzes are also undemanding to build, which matters if nobody is pouring full-time.
One or two reds and one or two whites cover most wine drinkers. Sparkling and rosé are optional.
- Reds — pinot noir and cabernet sauvignon are dependable choices: one lighter, one fuller, and between them they suit most red drinkers.
- Whites — sauvignon blanc and chardonnay do the same job: one crisp, one rounder.
- Sparkling and rosé are worth adding if your event calls for a toast or the weather suits it. Neither is a requirement, and neither replaces a red or a white.
Let the season tilt the ratio. Warm-weather dates — roughly April through September — lean white, so buy more of it and leave enough chilling space for it. Cooler dates, October through March, lean red. This is a tilt rather than a switch: stock both either way.
A note on the tool. The Stock List carries generic red, white, rosé and sparkling wine rather than named varietals, so choose the colour in the tool and choose the varietal when you shop.
Three styles is usually plenty: a lager, an IPA and a wheat beer.
Three styles cover light, hoppy and soft without turning your cooler into a warehouse. A lager suits guests who want something straightforward, an IPA suits guests who came for something with more bite, and a wheat beer sits comfortably between the two.
Choose the styles yourself rather than buying a variety pack. A variety pack decides the mix for you. Buying the styles separately means you set the ratio, and you can buy more of the one your own guests are likely to reach for.
Kegs and draft. A keg only pours well with a draft system behind it — a built-in tap or a portable jockey box. Without one, a hand pump is the fallback, and hand pumps tend to foam and can be slow to serve from at a busy bar. If you are weighing up a keg, plan the draft setup at the same time rather than afterwards.
Getting a keg ready on the day — when it needs to be in place, how it is stored, and leaving it where it stands once service starts — is event-day logistics and is covered in the event planning checklist, not here.
