Connecting with Hosts: Your Guide to Effective Captain Service Communication
How to communicate with the host through Captain Service, the paid way to take on detailed event coordination.
Clear and professional communication with event hosts is essential for building strong working relationships, ensuring smooth event execution, and earning positive reviews on bartendersNow™. Our Captain Service feature provides direct messaging and image sharing capabilities specifically designed to fairly compensate your coordination expertise while keeping coordination on-platform.
Written Communication:
- Use clear, concise, and grammatically correct language in all messages
- Maintain a polite and respectful tone
- Respond promptly to inquiries and notifications through the bartendersNow™ app
- Structure messages logically with clear action items and next steps
Professional Presentation:
- Project confidence and expertise in all communications
- Demonstrate knowledge of industry best practices and platform features

Information Gap Identification:

- Prioritize questions based on event impact and planning requirements
- Prepare structured inquiry lists for efficient Captain Service communication
- Anticipate potential issues and prepare proactive solutions
When hosts select and pay for Captain Service, use in-app messaging with the host for pre-event coordination:
- Confirm understanding of the host's event goals and atmosphere preferences
- Discuss service pacing and guest interaction expectations
- Agree with the host on the presentation and service they expect

- Clarify beverage menu specifics and any custom requests
- Plan setup logistics including space requirements and equipment placement

- Coordinate aesthetic preferences for professional presentation
Timeliness Expectations: Hosts paying for Captain Service expect prompt, attentive communication. These are expectations hosts commonly have, not platform requirements — you decide how you run your own bookings.
- Most hosts expect a reply within 2–4 hours during business hours
- A quick acknowledgment with a timeline helps when a detailed answer will take longer
- Staying reachable during the coordination period before the event tends to go best
Helpful Responses:
- Provide comprehensive answers that demonstrate expertise
- Anticipate follow-up questions and address them proactively
- Offer professional recommendations based on experience
- Document agreements and confirmations clearly
Direct messaging and photo sharing with hosts are enabled only when:
- Host selects and pays for Captain Service
- You're designated as the Captain Bartender for the event
- The host payment is secured, which is when the thread opens
For events without Captain Service, the host's event details reach you when they book — that is what you work from. Direct in-app messaging and image sharing with the host are part of Captain Service, so they are not available on these bookings.
- Review the event details the host provided, and re-read them before the event date
- Plan around anything the details do not cover — there is no in-app thread with the host on these bookings
- Maintain professional boundaries while being personable and helpful
- Use Help & Support for questions about the platform or a booking
Never Exchange Personal Contact Information:
- Bookings are paid only through the app; work arranged off the platform is not a bartendersNow™ booking and is not paid through it
- Booking disputes are handled under our Dispute Resolution Policy, which covers bookings made through the app
- Help & Support cannot help with work arranged off the platform
- The Terms of Service prohibit soliciting or completing off-platform payments or communications
If You Take On Extra Coordination:
- You decide how much planning and coordination you offer, and you set your own rates, including your Captain Service fee
- Captain Service, when the host books it, is how detailed planning, menu discussions and venue coordination are paid for in the app
Maintain Professional Focus:
- Avoid speculation or complaints in communications
- Stay focused on event details and professional requirements
- Keep communications constructive and solution-oriented
Maintain Professional Updates:
- Keep hosts informed of any stock situations or service adjustments
- Communicate any equipment issues or timeline changes promptly
- Agree with the other bartenders on your team how you will reach each other during service
- Document any service modifications or additional requests
Problem Resolution:
- Address issues immediately with calm, professional solutions
- Communicate alternatives when original plans need adjustment
- Seek host approval for any significant service changes
- Maintain service quality while resolving challenges
After Service:
- Confirm your end time in Post-Service Tasks to release your payout
- The host rating, private feedback and survey there are optional; private feedback is read only by you and the bartendersNow™ team
- Hosts get an in-app reminder to leave a review after a completed booking; if you ask for reviews, ask every host, not just the happy ones
- Document any equipment or service issues for future reference
Professional Follow-Up:
- Thank the host in person before you leave
- Address any post-event questions promptly and professionally
- Provide additional resources or recommendations if requested
- Maintain professional relationship for potential future bookings
